Who controls the data

Having a record in your systems is not the same as having the right to license it. A clear understanding of ownership, permissions and restrictions comes before a commercial agreement.

01

Establish the right to license

Review who created the records and what your customer, employee, supplier and software agreements permit. Flag third-party content or restrictions rather than assuming it can be included.

02

Define a specific scope

Discuss which record types, fields and time periods may be included, and which must be excluded. Any permitted uses, delivery requirements and responsibilities belong in the signed agreement.

03

Review privacy and confidentiality

Datumi helps with de-identification and contractual confidentiality. Removing names alone may not address every risk; sensitive fields, indirect identifiers and restricted information require review.

04

Agree before proceeding

Commercial terms, approval requirements and payout arrangements must be agreed in writing. Ownership, exclusivity, retention and any future-use restrictions depend on the final agreement—not a blanket promise on this website.

05

Identify restrictions early

Customer confidentiality, employee privacy, supplier terms, regional rules and software contracts may restrict reuse. Separate company-created material from third-party content. Escalate uncertainty to qualified legal or privacy advisers before a transfer.

06

De-identification is a reviewed process

Names, emails and phone numbers are direct identifiers, but rare events, locations, roles and combinations of fields may also identify a person. Review indirect identifiers and the need to remove, generalize or exclude information while preserving approved business context.

07

Questions for the agreement

Clarify who may use the dataset, for what purpose, for how long and under what restrictions. Confirm security responsibilities, delivery conditions, approval requirements, payment milestones, exclusivity and what happens to existing licenses if future participation stops.

An initial conversation does not authorize a transfer or create a license. Final offers and payments are subject to review, compliance, data approval by AI labs, and signed agreements.
